Terms and Conditions

Making a Purchase
To make a purchase simply select your chosen course(s) and add to the cart. When all your chosen courses have been added, proceed to the checkout. If you have made an online purchase with us previously, please login with the details you used originally. However if not you will need to create an account. Please enter any voucher codes when the applicable box appears at point of checkout.

For those intending to enrol on to an Observership or Medical Elective, there are suitability checks that need to be done in advance. At this point you will be required to contact the PGME centre on the details provided to discuss this. For attendance on all courses, your place will only be confirmed upon receipt of full payment. Where an organisation such as a hospital trust are paying on behalf of an individual(s) using the invoice payment option, bookings must be made at least 30 days so that payment is received before commencement of the course.

Booking for multiple delegates
Where you are booking courses for multiple delegates, add the desired number of places to your cart and proceed through the normal checkout procedure as outlined above. To complete a purchase for multiple delegates you must then log on to the site and allocate these to individuals. If this is not done then the booking process will not have been completed and delegates will not be able to attend the course.

Once you have allocated your places, delegates will receive joining instructions via email. Delegates do not need to set up their own accounts on our website, but they must fulfil any eligibility criteria for the relevant course. If a delegate is no longer able to attend, it may be possible to send an alternative person in their place but approval should first be sought from the administrative lead for the course. If no substitute is sent, the normal refund policy will apply.

Booking on behalf of someone else
To book on behalf of someone else, please check the box titled ‘Are you buying this course on behalf of someone else?’ during checkout. Once payment has been made and the booking confirmed, you will receive a license for the course to assign to a nominated person. You must then log on to the site and allocate these to a named individual. If this is not done then the booking process will not have been completed and delegates will not be able to attend the course.

Once you have allocated your places, delegates will receive joining instructions via email. Booking a medical elective
Medical electives are available at City Road (Old Street) and St George’s Hospital (Tooting) which entitle a student to attend the hospital for up to 4 weeks. With prior approval, some students may be able to extend their stay for up to 8 weeks but will be required to purchase an additional programme place.

Electives run most weeks throughout the year with a 4 week break in August and a 2 week break at Christmas. Each site can take up to 2 students per week when running.

Before purchasing an elective through the website please contact the PGME team to check dates and suitability. Please call 020 7566 2428 or email electives@moorfields.nhs.uk noting that they are open Tuesday to Friday only.

You may then proceed to book through the website in the normal manner, selecting your desired courses as agreed with the PGME team.

Booking an observership
Delegates can book an observership in any single or combination of services for up to 8 consecutive weeks (note: there is a maximum 2 week stay in Glaucoma and Medical Retina).

Before purchasing through our website, please contact the PGME team on 020 7566 2428 or email them at observers@moorfields.nhs.uk to discuss your requirements and to provide any required documentation. On application we will require; a current CV, a letter of recommendation from your hospital or institution and for those registered as an SOE/EBO, a copy of your confirmation letter. It is your responsibility to submit these documents to us.

Once you have spoken to the PGME team, select your desired weeks on the website and book in the normal way, as detailed above. Payment must be made in GBP for your observership period and an automatic approval will be given when booking. If the above documentation is not sent within five working days of your booking, the request will be cancelled and your payment returned, minus a 25% administration charge which we will retain. A final confirmation will be sent to you via email five days after documentation is received. Please check your spam items if you do not receive it.

Pricing errors
Moorfields makes every effort to ensure the prices on our website are correct however mistakes can sometimes be made. If we discover a pricing error on a product you have ordered, we will notify you and give you the option of either reconfirming your order at the correct price or cancelling your order for a full refund. If we are unable to contact you or we do not receive a reply from you, we will cancel your order and provide you with a full refund.

Cancellation
Moorfields incurs expenses for receipt of online payments. As such, Moorfields may retain a proportion of any fees paid in order to cover these costs should you wish to cancel your order; this is explained in more detail below. All refunds, regardless of cancellation date, can only be given after the course has taken place. We aim to do this within 5 working days of course completion.

Please note: you cannot attend or book a course with us if there is an outstanding debt to the trust.

Cancellations must be made by email and will not be accepted by any other method. Upon receipt of notification of cancellation we will send a confirmation email. If you do not receive this confirmation, please contact us again. No refund will be made for non-attendance of courses without prior notice of cancellation. Please note that payments cannot be transferred between courses and if you wish to cancel one course and attend another, you should request a refund and then re-book in the normal way.

Where you notify us of cancellation with at least 20 days’ notice we will return 80% of the course fee to you.

If you give us fewer than 20 days’ notice of cancellation, we will not be able to issue a refund and your payment will be retained in full. Some courses may be able to accept named substitutes within this period, please contact the relevant course administrator to discuss this.

In the event of cancellation of a training event by Moorfields, we will endeavour to give all participants two weeks’ notice; however this may not always be possible. All fees will be reimbursed in full but we will not be able to reimburse any additional costs that may have been incurred, such as flights, accommodation etc.

Travel, accommodation and logistics
You are advised not to book travel or accommodation until you have received written confirmation of the course venue.

For medical courses, there may be opportunities to obtain a discounted hotel rate at a local venue. Please check your joining instructions for further details.

Fees cover all tuition costs, access to scientific sessions and any materials provided by the trainer. They do not cover travelling expenses for any incidental field trips, personal subsistence, travel to and from the venue, or residential accommodation (unless explicitly stated in the course details).

Changes by Moorfields

Moorfields reserves the right s to change the venue, date and course tutors at any time. In the event of this happening we will notify you as soon as possible.
